Refund & Cancellation Policy

EventGuard Pro is committed to fairness, transparency, and compliance with applicable laws in the State of Texas. This Refund & Cancellation Policy outlines client rights and obligations, as well as EventGuard Pro’s responsibilities in the event of cancellation, rescheduling, or no-shows.

1. Cancellations by Client

  • 7+ Days Before Event: Client is entitled to a 100% refund of all fees paid.

  • 3–6 Days Before Event: Client is entitled to a 50% refund.

  • Less than 72 Hours Before Event: Non-refundable. Payments will be retained in full to cover staffing and scheduling costs.

Note: For credit card or online payments, processing fees (if any) may not be refundable, depending on the payment processor’s policies.

2. Cancellations by EventGuard Pro

  • If EventGuard Pro must cancel due to emergency, illness, staffing shortages, or other circumstances beyond our control, the client will receive a 100% refund of all fees paid or the option to reschedule at no additional cost.

  • Refunds will be issued to the original form of payment within 7–10 business days of notice of cancellation.

3. Rescheduling by Client

  • Clients may request to reschedule an event at least 72 hours in advance of the scheduled start time.

  • Rescheduling requests within 72 hours of the event will be subject to EventGuard Pro’s availability and may incur an additional $50 rescheduling fee.

  • Only one reschedule per booking will be allowed without forfeiting payment.

4. Weather-Related Cancellations

  • Outdoor Events: If unsafe weather conditions (lightning, severe storms, flooding) make it impossible for guards to safely perform duties, the client may request either:

    • A rescheduled date at no cost, subject to availability, or

    • A refund minus a $50 scheduling fee to cover administrative and staffing costs.

  • EventGuard Pro reserves the right to determine whether weather conditions pose safety risks.

5. No-Show Policy

  • Staff No-Show: If EventGuard Pro staff fail to arrive at the contracted event location and no alternate staff can be provided, the client will receive a full refund.

  • Client No-Show / Inaccurate Details: If the client provides incorrect details (wrong address, restricted access, unsafe environment, or failure to be present at check-in), no refund will be issued, and the booking will be considered forfeited.

6. Safety & Environment Clause

  • EventGuard Pro reserves the right to terminate services immediately if the environment is deemed unsafe (including but not limited to aggressive guests, inadequate pool safety, or unapproved alcohol/drug use near the water).

  • In such cases, no refund will be issued.

7. Processing of Refunds

  • Refunds will be processed using the original payment method.

  • Refunds will typically be completed within 5 business days, but in rare circumstances could take up to 7–10 business days if bank or processor delays may apply.

  • Clients are encouraged to contact refund@eventguardpro.com with any refund inquiries.

8. Compliance With Texas Law

This policy is governed by and construed in accordance with the laws of the State of Texas. Nothing in this policy affects a client’s statutory rights under applicable Texas or U.S. consumer protection laws.
